Choosing a BYOV venue puts you in the driver's seat—but it also means you're responsible for coordinating multiple vendors. Here's what to consider:

Questions to Ask Before Booking

• Vendor Restrictions? Are there any limits on catering style, music volume, decor, or vendor hours? Point Preserve has minimal restrictions and prioritizes your vision.
• Kitchen Access? Does the venue offer a commercial kitchen, or will your caterer bring all food pre-prepared? We offer kitchen rental so caterers can work on-site.
• Wifi & Power? Do vendors have reliable internet and sufficient electrical outlets? Essential for DJs, photographers, and livestreaming.
• Parking & Vendor Load-In? Is there space for catering trucks, florist vans, and equipment delivery? We have ample parking and designated vendor areas.
• Timeline & Breakdown? What time can setup begin? When is everything due out? How much flexibility do you have? We work with your vendors' needs.
• Weather Backup? Is the pavilion covered? Can you add a tent? We're covered and can accommodate additional shade/heating.

Building Your Vendor Team

Start with the caterer. Your food and beverage vendor often leads the logistics. Once they're booked, bring in florist, photography, and music. Then add rentals, decor, and day-of coordination. If you're not hiring a planner, designate someone (ideally the wedding party) to manage communication and timelines. Create a shared spreadsheet with vendor names, phone numbers, arrival times, and setup requirements. Share it with Point Preserve so we can support everyone's workflow.

Many couples hire a "month-of" or "day-of" planner specifically for BYOV weddings. You choose all vendors and build the vision, then a planner manages execution. This hybrid approach gives you creative control and cost savings without the stress of vendor coordination on your wedding day.

Communication Timeline

Once vendors are booked, schedule a group meeting (virtual or in-person) 6–8 weeks before your wedding. Discuss timelines, parking, kitchen access, music setup, decor installation, and breakdown. Clarify Point Preserve's role and what support we provide. Follow up with a written timeline 2 weeks before, then a final walkthrough 3–5 days prior.
