What to ask on your venue tour

Bring your people, plans, and questions into focus before you choose a date.

A useful tour connects the space you see with the event you want to host. Use these six checks to leave with a realistic layout, a clear budget, and a list of decisions still to make.

1. Bring a date range and two guest counts

Before a tour, write down your preferred dates, approximate event attendance, and the number of people who may want an apartment. These are different planning numbers: a reception guest count does not tell the team how many apartments you need. Include a backup date if you have one, and describe whether you are planning a wedding, retreat, or private gathering.

Point Preserve has 24 apartments available on site. Availability and apartment rates are confirmed separately from venue access. A tour or inquiry does not reserve either. Use the lodging search for current apartment options and ask the team about coordinating several stays.

2. Walk through your actual event layout

The pavilion measures 50 feet by 100 feet. Published capacity is around 350 seated or up to 500 standing. Treat those as starting points for a layout discussion, not a promise that every seating arrangement works for the maximum count.

Ask where the ceremony, dining tables, dance floor, catering stations, and vendor equipment would go. Walk the route from parking to the gathering space and restrooms. If a guest has mobility needs, describe them and ask to check the relevant surfaces, distances, restroom arrangements, and apartment access together. Confirm a suitable plan before making accessibility commitments to guests.

3. Build the timeline around the rental window

The base venue rental runs from 10 AM to midnight, including setup and teardown. Ask when each vendor can arrive, when service ends, and who removes equipment and decorations before the rental window closes. Count the time required to pack up as part of your schedule.

Early decorating, a rehearsal gathering, or another event day requires a separate discussion. The example wedding weekend illustrates a possible flow; it is not an included package or a confirmed schedule. Apartment check-in and checkout are governed by the selected stay’s terms.

4. Separate the base price from your full budget

Standard venue rental is $5,000 Monday through Thursday or $7,500 Friday through Sunday. Published nonprofit rates are $4,000 and $5,000 respectively. Confirm which rate applies to your organization and date.

Ask for a written breakdown of the venue rental, cleaning, kitchen use, any required security, rentals, and other selected additions. Lodging and additional event days are separate. Catering, decor, entertainment, and other vendors belong in your overall event budget too. 5. Confirm the weather and vendor plans

Ask how the proposed layout would change in rain, wind, heat, or cooler weather. Discuss shelter, equipment placement, vendor access, and the decision process for moving activities. Do not assume a particular backup space or weather-related service is included.

Point Preserve requires an event coordinator, and hosts may work with licensed and insured vendors. Ask whether your coordinator is approved, which documents each vendor needs to provide, and how catering, kitchen access, and alcohol service will work. Have the team confirm the requirements for your specific event before signing vendor agreements.

6. Leave with an arrival plan and written next steps

The property address is 725 J D Miller Road, Santa Rosa Beach, FL 32459. Published parking capacity is up to 200 cars. Discuss the expected number of vehicles, vendor unloading, guest drop-off, and any transport you intend to arrange. Beaches and other nearby destinations are separate trips, not part of the venue grounds.

Before you leave, record who will answer outstanding questions, what is included in the proposed rental, and what must be confirmed separately. Review the agreement’s payment, cancellation, insurance, and access terms with the team. Share the final arrival and timing instructions with guests only after those details are confirmed.
